1. Overview
At HelpDesk Consultants, we work hard to deliver the right outcome for every Government and consultancy service we undertake. This Refund Policy explains when a refund may be issued, how it is calculated, and the process to request one. By engaging us for any service, you agree to the terms of this policy along with our Terms of Service.
2. Components of Your Payment
Every payment you make to us typically has up to three components:
- Service charge: Our professional fee for facilitation, documentation and follow-up.
- Government fee: Statutory fee paid to the relevant Government department or portal on your behalf.
- Third-party charges: Charges paid to banks, payment gateways, courier or other vendors as part of the service.
Refund eligibility differs for each component, as described below.
3. Refund Eligibility
a. Service charge
- Before work begins: 100% of the service charge is refundable if you cancel before we start working on your application.
- After work has begun: A partial refund may be granted at our discretion, after deducting the time and effort already invested.
- After submission to authority: The service charge is non-refundable once the application has been submitted to the concerned Government department or portal.
b. Government fee
- Government fees, statutory levies and challans are non-refundable once paid to the department, since we have no control over the Government's refund process.
- If a refund is issued by the Government department directly to us, we will pass it on to you in full without deduction.
c. Third-party charges
- Payment gateway fees, courier charges, banking charges and similar third-party costs are non-refundable.
4. Situations Where Refunds Are Not Issued
We are unable to issue refunds in the following situations:
- Application is rejected by the Government department for reasons attributable to the documents, eligibility, or facts provided by the client.
- Delay in processing by a Government office, portal downtime, or any force-majeure event outside our control.
- Client provides incorrect, incomplete, forged or misleading information.
- Client fails to submit additional documents requested by us or the authority within the required time.
- Client cancels the service after the application has already been submitted to the authority.
- Service has already been delivered (e.g. certificate generated, licence renewed, return filed).
5. How to Request a Refund
To request a refund, please:
- Write to us at helpdeskconsultants@outlook.com with the subject line "Refund Request — [Service Name]".
- Include your full name, registered phone/email, the service availed, date of payment and the amount paid.
- Attach a copy of the payment receipt or transaction reference.
- State the reason for the refund request.
You can also visit our office in person during working hours to raise a request.
6. Processing Time
- Refund requests are reviewed within 5 working days of receipt.
- If approved, the refund is initiated within 7–10 working days to the original mode of payment (UPI, bank transfer or cash, as applicable).
- Bank settlement times may add 2–5 additional working days depending on your bank.
7. Mode of Refund
Refunds are processed only to the original mode of payment used by the client. We do not transfer refunds to third-party accounts. For cash payments, refunds will be issued through bank transfer or UPI to an account in the client's name.
8. Disputes
If you are not satisfied with the outcome of a refund request, please write to our Grievance Officer using the contact details below. We will make every reasonable effort to resolve the matter amicably. All disputes are subject to the exclusive jurisdiction of the courts at Patna, Bihar.
9. Changes to this Policy
We may update this Refund Policy from time to time. The latest version will always be available on this page with an updated "Last updated" date. Continued use of our services after such updates means you accept the revised policy.
